- Where AI is used
- Assistants, briefs and explanations, plus reading supplier documents and drafting quality and planning content inside the workflow it supports.
- Who decides
- An authorised person reviews AI output before relying on it, and before any regulated or consequential action (EULA §5.1).
- Access
- Assistant access does not remove role or workspace boundaries. AI features also need configured provider access and must be included in your plan or Order.
- Training
- S.G. Systems does not use Customer Data to train AI models (EULA §5.1(d)).
- Providers
- V5 AI features use OpenAI GPT models, with requests routed through an AI gateway. Both are listed on the sub-processors page.
- Not available yet
- Demand and yield forecasting and process anomaly detection are coming soon. They are not part of V5 today.

- Cannot see any customer workspace, record or account.
- What you type, Ask V5's answers, the page you asked from and limited technical details (such as response time and outcome) are recorded as support records our team can see, for monitoring and follow-up. Please don't enter confidential or personal data.
- Usage limits are in place to reduce misuse. Answers can be wrong; check the linked page or ask us.
AI inside V5 Ultimate (signed in)
- Works on your workspace's records, only within the signed-in person's role and workspace.
- Available where your Order, plan and configuration include it.
- Suggests and drafts; people confirm, correct or reject.
- Not represented for V5 Classic (EULA §5.2).

What stays human
AI can be incomplete or wrong. People check it.
AI output is probabilistic assistance. The licence says so plainly, and the product is built around a person reviewing it before it matters.
- Review first: an authorised user reviews output before relying on it.
- Source beside suggestion: when AI reads a document, suggested values are checked by a person against the original document before they are used.
- No AI signatures or releases: AI never signs a record, approves, or releases a batch or lot. Existing permissions, signatures and change controls still apply.
- Your validation: you decide the intended use of each AI feature and own its validation, approvals and release decisions.

Role and workspace limits
Using an assistant does not widen what a person can see or do. Access stays scoped to their role and workspace.
Decisions on the record
When a person confirms, signs or approves something, it goes through V5's normal records, audit trail and e-signature controls. This page does not claim that AI prompts or outputs are themselves audit-trailed; ask us for the detail per feature.
Turned on deliberately
AI features need configured provider access for your workspace and must be included in your Order or plan.
Data and providers
What leaves V5 when AI is used
- When you use an AI feature, the prompt and the text, documents or images you submit to it are sent to the AI provider as needed to perform it. The model used can vary by feature or task.
- OpenAI (GPT models) and the AI gateway that routes requests are listed, with their purpose and the data involved, on the sub-processors page. Third-party AI processing is documented in the DPA and that list (EULA §5.1(e)).
- S.G. Systems does not use Customer Data to train AI models. Each provider's own data terms are linked from the sub-processors page.
- Where AI requests are processed, and how long providers keep them, is not stated on this page. Ask us and we will answer for your deployment and the features you plan to use.
