Storage on record.Handling recorded.Billing kept clear.
Tag incoming stock as customer-owned, let V5 capture handling when the lot arrives and storage each day against your own rate cards, then bundle the open charges into an invoice the customer can read line by line.
The charge follows the work.

Mark the stock as someone else's
A purchase order can be marked customer-owned and named to one customer.
How 3PL billing works: ownership, rate cards, captured charges, overrides and invoices
1. Mark the stock as someone else's
A purchase order can be marked customer-owned and named to one customer.
Each lot created from that receipt carries the owner.
Owner-tagged lots are held back from being issued or shipped to someone else.
- Consignment and tolling
- The same tagging covers consignment, tolling and 3PL stock held on a customer's behalf.
You decide who owns the goods. V5 records and enforces the tag; it does not settle title.

2. Write your charges down once
Charges have a kind — handling, storage, accessorial, fuel surcharge or freight — and a basis: per pallet, carton, each, kilogram, day, receipt, shipment or flat.
Each customer has default handling and storage cards.
A customer rule can override the price for that customer.
- Ledger labels
- A rate card can carry the account it belongs to, so finance can trace the charge.
There is no pick, pack or fulfilment fee type. Charges come from receipts, daily storage, freight and manual entries.

3. Let the Charges Build Themselves
Handling is captured automatically when a customer-owned lot arrives.
Storage is snapshotted daily from the quantity on hand, and one snapshot per customer per day is kept.
Charges start as draft and are approved before they can be invoiced.
- At receiving
- Expected charges can be shown on the receipt before it is signed off.
Storage snapshots run on a schedule or when you trigger them; they are a daily record, not a live meter.

4. Correct a charge without losing the original
An override needs a reason and keeps the original quantity and price.
A cancelled charge stays on the record with its reason and is left out of invoicing.
A charge that has been invoiced cannot be quietly edited.
- Manual charges
- A one-off charge can be added by hand and follows the same approval and override rules.
There is no customer dispute portal and no credit-note document. Corrections are an override, a cancellation or a voided invoice.

5. Bundle the period into one invoice
An invoice run gathers the open charges for a period into a draft.
Issuing and payment are dated, and voiding returns the charges to open.
Each invoice can be downloaded as a PDF for the customer.
- Billing hub
- The hub lists each customer's draft and approved charges, issued-unpaid totals and paid totals.
V5 raises and tracks the invoice; it does not collect the payment or chase the customer.

Inventory & Traceability: the Practical Operations Guide

Straight answers.
What buyers ask us first about Warehouse & Traceability.
Do we need scanners and label printers?
Scanning and printing work best with handheld scanners and label printers. Each device is confirmed during setup, so check your models with us before you buy.
Can we keep stock on hold until quality approves it?
Yes. A lot can be held, and held stock shows as unavailable for picking until a person in quality releases it.
How fast can we trace a lot?
From any lot you can follow it back to its supplier or forward to batches and shipments. How complete that is depends on every move being scanned.
